Our clinic needs a production-ready, AI-powered assistant that can pick up every incoming call, talk naturally with patients, and carry the conversation through to a confirmed booking without staff intervention. Once the slot is set, the same assistant must push the appointment into our existing clinic backend and immediately fire off two separate WhatsApp messages—one to the doctor, one to the patient—followed by an automatic reminder as the date approaches. Voice handling • Calls are answered through an automated conversational flow. The bot should recognise intent (new booking, reschedule, prescription query, etc.), collect the required details, and respond or route when necessary—all in real time and with a human tone. WhatsApp integration • After each successful action the assistant must: – Notify the doctor with the patient name, time, and reason for visit. – Notify the patient with confirmation plus any prep instructions. – Queue and send reminders (time configurable). Clinic backend integration • Appointments and prescription notes have to be written directly into our existing system via its REST API (documentation supplied once the project begins). Updates or cancellations from either side must stay synchronised. Deliverables • Deployed voice bot (cloud or on-prem) handling automated calls. • WhatsApp notification module using the official Business API. • Middleware that maps captured data to our backend endpoints. • Basic dashboard or log so we can audit conversations, bookings, and message status. • Installation guide and hand-off session. Acceptance criteria 1. A test call results in a booked slot visible in the backend. 2. Both WhatsApp notifications arrive within 30 seconds. 3. Reminder fires at the configured interval without manual input. 4. All data exchanges pass our basic HIPAA-style security checklist.
