Build Airtable Operations Platform + Website Integration for Nonprofit Pilot Project

I am looking for an experienced Airtable builder / systems designer to build a Version 1 operations platform in Airtable for my nonprofit pilot project, Operation Iron Gate, a mission of Pathfinders for Hope. We are looking for an estimate to submit the budget to our donors. We are looking to start the creation in about a month or less. This is not a generic CRM project. This is a structured pilot operations system that needs to function as a case/intake/workflow platform connected to our website. The system will be used to support: online help request intake operator intake entry case tracking barrier tracking follow-up workflow escalation tracking outcome tracking continuity / missing-ID tracking dashboards for daily pilot operations partner inquiry capture from the website The website is being built separately in WordPress, so this Airtable system needs to be designed with website integration in mind. WHAT I NEED BUILT I need a freelancer who can build the Airtable side of this system and help make sure it is structured correctly for a real pilot launch. Core Airtable build scope 1. Airtable base architecture Build the Airtable base with the correct tables, linked records, fields, statuses, and logic. 2. Required tables At minimum, I need these tables built: People Cases Barriers Actions Escalations Outcomes IGAC / Continuity Events Resources Partner Leads (for website partner inquiry flow) 3. Key system functions The Airtable system needs to support: intake becomes a visible case linked person-to-case structure barrier categories and primary/secondary barrier logic urgency level tracking next action tracking activation status escalation required / escalation status continuity / missing ID handling outcome confirmation partner lead tracking notes and update fields 4. Airtable forms I need internal Airtable forms built for: operator intake entry escalation entry outcome update continuity / missing-ID event entry 5. Views I need operational views such as: New Intake Queue Urgent Cases Missing ID / Continuity Queue Action Due Today Awaiting Activation Escalation Queue Awaiting Outcome Confirmation Stalled Cases Partner Leads 6. Airtable Interfaces / dashboards I need dashboards for: Executive Snapshot Operator Queue Escalation / Steward Review Continuity / Missing-ID Review Partner Leads / Resource visibility WEBSITE INTEGRATION REQUIREMENTS Yes, this needs to connect to the website. The freelancer should design the Airtable build so it can connect to website forms such as: Get Help Now public help request form Partner Inquiry form Contact form The WordPress website is being built separately, and the Airtable system should be ready for integration through tools like: Jotform Airtable forms Make / Zapier / similar automation tools At minimum, the freelancer should understand and plan for: public form submission from website into Airtable partner inquiry flow from website into Airtable form-to-case creation workflow readiness website-connected data structure AUTOMATION / WORKFLOW READINESS I do not necessarily need every automation fully built in this first contract unless priced separately, but I need the Airtable structure built correctly so it is ready for automation. The builder should understand how the system will later support: new intake → case creation barrier record creation urgent case flagging missing-ID continuity event creation escalation record creation dashboard visibility reporting and daily review workflow If you can also build or price the automation layer, include that separately.
