RFP – Migration from Zapier to n8n (Self-Hosted on VPS) Project Overview We currently use Zapier to automate multiple workflows across our business. We want to migrate all active workflows to n8n (self-hosted on VPS) using direct API/webhook integrations wherever possible, to reduce costs and improve efficiency. Current Active Workflows (for reference only) Account creation on app: Qoyod → Google Sheets → ManyChat Account creation on website: Zid → Google Sheets → ManyChat Cart add on website: Zid → Google Sheets → ManyChat Order status updates: Trello → Google Sheets → ManyChat New order creation: Zid → Trello Order statuses to cover: New, Received, In Lab, Out for Delivery, Completed, Cancelled, Pending. Note: These workflows are not to be copied as-is. They are only a reference point. The final workflows must rely on API/webhook integrations directly with our app, Zid, ManyChat, etc., with Google Sheets used only as a temporary/initial buffer if strictly necessary. Project Goals Build all workflows inside n8n self-hosted on a VPS (20–30 USD/month budget). Replace intermediary steps (e.g., Trello, Qoyod, Sheets) with direct API/webhook connections. Ensure workflows are modular and extensible, ready for future integrations (e.g., CRM, ERP, payment gateways). Deliver reliable, optimized automations that reduce overall execution load. Freelancer Responsibilities Recommend and set up a suitable VPS (DigitalOcean, Hetzner, Vultr, etc.). Install, configure, and secure n8n self-hosted (with SSL + 2FA). Design workflows based on direct APIs/webhooks; use Sheets only as minimal staging if unavoidable. Implement error handling, logging, and monitoring. Ensure workflows are modular, well-documented, and ready for future extensions. Deliver handover docs and a short Loom walkthrough for the team. Deliverables Fully working n8n instance on VPS, secured and production-ready. All workflows rebuilt, optimized, and tested. Error handling and fallback logic implemented. Backup and recovery plan documented. Success Criteria Uptime ≥ 99%. Workflows optimized and functional without unnecessary intermediaries. Scalable design ready for new integrations. VPS cost remains within budget (≤ $30/month). Pricing & Milestones Single Migration Phase: Setup, migration, optimization, documentation, and handover (all workflows delivered in one milestone). Mandatory Support & Maintenance: Freelancer must provide monitoring, updates, and bug fixes for 3 months post-deployment (part of the delivery, not optional). Payment: Fixed Price (no hourly billing). Notes Freelancer is responsible for server maintenance, monitoring, and updates during the 3-month support period. Clear communication and proactive problem-solving are expected. Preference for freelancers with proven n8n migration and API-first automation experience.
