QR-Driven Warranty Registration Setup

I’m setting up a warranty registration flow that starts with a QR code on every product and ends with tidy, searchable data in Google Sheets. Each product carries a unique serial number; when a customer scans the code it opens a Google Form where that serial number is auto-filled and locked so nobody can alter it. The form needs only a few more fields—customer name, phone or email, purchase date and a “Place of Purchase” dropdown that (for now) shows “Distributor” as the single choice; please leave it easy for us to add Online Store or Retail Store later. Once the form is submitted I want all responses to feed straight into a linked Google Sheet. In that sheet a formula should add 12 months or different warranty period to the purchase date, calculate the warranty expiry, and mark the unit as Active or Expired in a dedicated Status column. With colour coding and no notifications are necessary, just the clear text in its own column. Everything must be simple for staff in Thailand to look up: search by serial, customer name, or even the extra stock-tracking fields I’d like you to add for “Item Arrival Name” and “Item Arrival Date”. There’s no mobile or web app to build—Google Workspace tools only. Because my team will maintain this, I need straightforward hand-off material. A short, concise video tutorial showing the set-up, the formulas, and how to generate new QR codes will do the trick. Deliverables • Google Form with locked serial field and dropdown configured • Google Sheet with live response tab, expiry & status formulas, and search-friendly layout • QR code generation template or method we can repeat as stock changes • Video walkthrough (screen-recorded) covering set-up, editing, and daily use If you have ideas for small quality-of-life improvements inside the Google ecosystem, let me know—so long as the flow stays simple and user-friendly.
