PDF-based work orders arrive in my inbox every day and I need them turned into fully populated ServiceM8 jobs without any manual data entry. The flow I have in mind works like this: 1. Zapier watches a dedicated email address, grabs each incoming PDF attachment and parses out the customer details, job details and billing information. 2. Those fields feed directly into a new ServiceM8 job via the ServiceM8 API, with the original PDF (and any images from the email) saved to the job diary. 3. The same data also updates the relevant contact or deal record in my CRM so everything stays in sync. Feel free to combine Zapier with any additional tools or webhooks you believe are better suited for accurate PDF data extraction—accuracy of those three data groups is critical. Deliverables • A live Zapier (or equivalent) workflow performing the three steps above end-to-end • Field-mapping documentation so I can adjust or extend the process later • A brief Loom or written walkthrough showing the setup, including where to change credentials and error-handling rules Acceptance criteria • New emails with the specified PDF format create matching ServiceM8 jobs in under two minutes • Customer, job and billing fields appear in the correct ServiceM8 job sections and in the CRM record • Original PDF and any attached images are viewable in the ServiceM8 job diary Access to my ServiceM8 account and a set of sample emails will be provided once we agree on the approach.
