Simple Contract Generator Tool (PDF) for Small Events Company Overview I’m looking for a developer to build a very simple, user-friendly tool for a small events management company. User is not tech-savvy, so the main goal is to replace current “write by hand → send to someone to fill Excel → print & sign” process with an easy form-based tool that: 1. Fill basic client & event details and a list of agreed items (e.g. flowers, lighting, tables, etc.). 2. Automatically generates a nicely formatted contract in PDF (ready to print and sign or send for e-signature). We already have an existing contract template in Excel that includes logo, watermark, basic structure, and T&Cs. You can either: • Use this template as is, or • Propose a cleaner / better contract layout that keeps the same key elements. What the Tool Should Do (High-Level) • Provide a simple form-style interface where she can enter: • Basic contract details (dates, reference number, etc.) • Basic client details • Basic event details • A list of items/services (e.g. flowers, lighting, décor, entertainment, etc.) • A total amount, VAT (5%), deposit, and remaining balance We don’t need you to hard-code every single field in the brief – we can refine the exact form fields together once the project starts. • Use those inputs to auto-fill a contract layout (based on our current template or a slightly improved version). • Generate a PDF file from that layout, ready for: • Printing and hand-signing, and/or • Sending digitally for e-signature. Technical / System Requirements • Must run locally on a Windows laptop (no cloud hosting). • Can be: • A lightweight desktop application (e.g. C#, Python, etc.), or • A simple local web app (runs in the browser but hosted locally on the laptop), or • Microsoft Access or similar – only if that’s genuinely the simplest option. • Optionally: • Simple login is fine (e.g. one user or basic credentials), but no complex user management is needed. Simplicity and ease of use are more important than fancy technology. Functional Requirements (High-Level) • Generate contracts in PDF with: • Our logo / company details • Client & event information • Items / services and pricing • VAT, totals, deposit, and remaining balance • Standard terms & conditions page • Ability to save contracts locally (e.g. in a folder) for future reference. • Ability to open and edit an existing contract and regenerate the PDF (if feasible). • Basic automatic VAT calculation at 5% and simple total/balance logic. Deliverables 1. Fully working tool, installed or ready to run on a Windows laptop. 2. All source files / project files (so we can modify things later if needed). 3. A simple user guide (PDF or Word) explaining: • How to open the tool • How to fill the form • How to generate and save the PDF • How to edit an existing contract (if supported) 4. A live handover / training session (e.g. 30–60 minutes on Zoom/Teams) where you: • Walk us through the system • Show how to change basic items or wording if needed • Answer initial questions Ideal Freelancer • Experience building simple, non-technical user interfaces. • Able to generate PDFs from structured data. • Comfortable guiding non-technical users and providing a clear handover.
